Introduction

Ⅰ．Thefollowingstructureisrecommendedinwritingsuchaletter：

1．Apositiveopening—Nomatterwhoseresponsibilityitis，itisnotadvisableforthewritertorejectthecomplaintorclaimpromptly．Instead，thewritershouldopentheletterbyreferringtothecomplaintorclaim，expressingapologiesorassuringthereaderofhisimmediateattentiontothematterindiscussion.

2．Explanationforhowtosettlethematterindiscussion—Ifthewriteradmitshiscompanyisinerrorandiswillingtotakeresponsibility，heshouldexpresshiswillingnessdirectlyandinformthereaderhowheisplanningtosettletheproblem.Incasethewritercannotacceptthecomplaintorclaimforsomereason，heshouldprovidedetailedreasonsforhisdoingsoandproposeotheralternativestosettletheproblem.

3．Apositiveclose—Usually，thewriterchoosestoendtheletterbyexpressinghisexpectationforanearlysettlementofthecomplaintorclaimorhiswillingnesstocooperate.
