档案材料的基本装订要求

省、市级规范化学校档案材料的文件格式基本要求为进一步规范省、市级规范化学校档案材料的准备工作～现根据《国家行政机关公文格式》,GB/T9704-1999,、《中华人民共和国国家标准出版物上数字用法的规定》,GB/T15835—1995,等文件要求～将有关文件格式的基本要求通知如下:

一、行文格式要求

1.排版规格:

正文用3号仿宋字～一般每面排22行～每行排28个字。

2.制版要求:

版面干净无底灰～字迹清楚～尺寸标准～版心不斜。

3.装订要求:

公文应左侧装订。

骑马订或平订的订位为两钉钉锯外订眼距书芯上下各1/4处。

4.组成公文的各要素划分为眉首、主体、版记三部分。

臵于公文首页红色反线以上的各要素统称眉首,臵于红色反线,不含,以下至主题词,不含,之间的各要素统称主体,臵于主题词以下的各要素统称版记。

5.眉首。

1,发文机关标识:

由发文机关全称或规范化简称后面加“文件”组成。

发文机关标识推荐使用小标宋体字～用红色标识。

2,发文字号:

发文字号由发文机关代字、年份和序号组成。

发文机关标识下空2行～用3号仿宋体字～居中排布,年份、序号用阿拉伯数码标识,年份应标全称～用六角括号“„?

”括入,序号不编虚位,即1不编为001,～不加“第”字。

6.主体。

1,公文标题:

红色反线下空2行～用2号小标宋体字～可分一行或多行居中排布,回行时～要做到词意完整～排列对称～间距恰当。

2,公文正文。

主送机关名称下一行～每自然段左空2字～回行顶格。

数字、年份不能回行。

7.附件。

公文如有附件～在正文下一行左空2字用3号仿宋体字标识“附件”～后标全角冒号和名称。

附件如有序号使用阿拉伯数码,如“附件:

1.×××××”,,附件名称后不加标点符号。

附件应与公文正文一起装订～并在附件左上角第1行顶格标识“附件”～有序号时标识序号,附件的序号和名称前后标识应一致。

如附件与公文正文不能一起装订～应在附件左上角第1行顶格标识公文的发文序号并在其后标识附件,或带序号,。

8.成文时间:

用汉字将年、月、日标全,“零”写为“?

”。

9.公文中表格:

公文如需附表～对横排A4纸型表格～应将页码放在横表的左侧～单页码臵于表的左下角～双页码臵于表的左上角～单页码表头在订口一边～双页码表头在切口一边。

10.公文中图文的颜色:

未作特殊说明公文中图文的颜色均为黑色。

二、数字运用要求

一,一般原则

1.使用阿拉伯数字或是汉字数字～有的情形选择是唯一而确定的。

1.2定型的词、词组、成语、惯用语、缩略语或具有修辞色彩的词语中作为语素的数字～必须使用汉字。

2.时间,世纪、年代、年、月、日、时刻,

2.1要求使用阿拉伯数字的情况

2.1.1公历世纪、年代、年、月、日。

示例:

公元前8世纪20世纪80年代公元前440年公元7年1994年10月1日2.1.1.1年份一般不用缩写。

如1990年不应简作“九?

年”或“90年”。

2.1.1.2引文著录、行文注释、表格、索引、年表等～年月日的标记可按GB/T

7408—94的5.2..1.1中的扩展格式。

如:

1994年9月30日和1994年10月1日可分别写作1994-09-30和1994-10-01～仍读作1994年9月30日、1994年10月1日。

年月日之间使用半字线“-”。

当月和日是个位数时～在十位上加“0”。

2.1.2时、分、秒

2.2.1中国干支纪年和夏历月日。

示例:

2.2.2

含有月日简称表示事件、节日和其它意义的词组。

如果涉及一月、十一月、十二月～应用间隔号“〃”将表示月和日的数字隔开～并外加引号～避免歧义。

涉及其它月份时～不用间隔号～是否使用引号～视事件的知名度而定。

二,物理量

物理量量值必须用阿拉伯数字～并正确使用法定计量单位。

小学和初中教科书、非专业科技书刊的计量单位可使用中文符号。

三,非物理量

3.1一般情况下应使用阿拉伯数字。

3.2整数一至十～如果不是出现在具有统计意义的一组数字中～可以用汉字～但要照顾到上下文～求得局部体例上的一致。

截至1984年9月～我国高等学校有新闻系6个～新闻专业7个～新闻班1个～新闻教育专职教员274人～在校学生1516人。

四,多位整数与小数

4.1阿拉伯数字书写的多位整数和小数的分节

非专业性科技出版物如排版留四分空有困难～可仍采用传统的以千分撇“～”分节的方法。

小数部分不分节。

四位以内的整数也可以不分节。

示例:

阿拉伯数字书写的纯小数必须写出小数点前定位的0”。

小数点是齐底线的黑圆点“.”。

4.2尾数有多个“0”的整数数值的写法

专业性科技出版物根据GB8170—87关于数值修约的规则处理。

非科技出版物中的数值一般可以“万”、“亿”作单位。

示例:

三亿四千五百万可写成

345～000～000～也可以写成34～500万或3.45亿～但一般不得写作3亿4千5百万。

一个用阿拉伯数字书写的数值应避免断开移行。

五,概数和约数

5.1相邻的两个数字并列连用表示概数～必须使用汉字～连用的两个数字之间不得用顿号“、”隔开。

示例:

二三米一两个小时三五天三四个月

一二十个四十五六岁七八十种一千七八百元5.2带有“几”字的数字表示约数～必须使用汉字。

示例:

几千米十几天一百几十次几十万分之一

5.3用“多”“余”“左右”“上下”“约”等表示的约数一般用汉字。

如果文中出现一组具有统计和比较意义的数字～其中既有精确数字～也有用“多”、“余”等表示的约数时～为表示局部体例上的一致～其约数也可以使用阿拉伯数字。

示例1:

这个协会举行全国性评奖十余次～获奖作品有一千多件。

协会吸收了约三千名会员～其中三分之二是有成就的中青年。

另外～在三十个省、自治区、直辖市还设有分会。
