ABSTRACT

TheMalaccaDrivingSchoolManagementSystem（MDSMS）isdevelopedmainlyfordrivingschooltomanagetheoperationmoreefficient,easilytofinddata,recordkeepingmoreefficientandretrievedatafaster.Thissystemwillbemanagedbytheadministratorandtheclerkofthedrivingschoolcompany.ThemethodologyofthissystemisDatabaseLifeCycle（DBLC）.Ananalysisstudyhasbeendonebasedonthecurrentmanualsystemandalltheproblemsstatementsandrequirementshavebeenidentified.Moreover,interfaceMDSMShavebeendesignedaccordingtotherequirementandneedofthecompany.Onlytheadministratorandtheauthorizedstaffonlycanaccessthissystem.ThisMalaccaDrivingSchoolManagementSystemwillhelptoimprovetheperformanceofcurrentsituationandovercometheproblemsthatarisenowadays.

1.1ProjectBackground

MalaccaDrivingSchoolManagementSystemisacomputerizedsystemthatisdevelopsfordrivingschoolcenter.Itmanagesvariousfunctionsinmanagingandhandlingthedrivingschoolcenter.Thedrivingschoolcenterprovidesthedrivingclassformotorcycle,car,lorry,busandothers.Thissystemismanagedbyastafforadminatthecenter.Thestaffisresponsibletoregisterthenewstudents,newstaffsorinstructor,calculationsandpaymentsandsalaryforthestaffs.Theproblemcomeswhentherecordsofstudentsandstaffsareincreasinganditisnotsystematicanymoretokeepallthedatainthefilesystemsanymore.Therearedataon5yearsoperationofthedrivingschoolcenterkeptinfilesthatfillhalfoftheroomandmaybethereare5yearsofdatatocomeandallthefileshavetobekeep.Arethecompaniesgoingtoenlargeitsbuildingjusttoaddroomtostoreallthisfiles?

Andhowtokeepitinorderandsecurelywhereonlytheauthorizestaffcanaccessit.Furthermore,ifanyunexpectedincidentordisasterhappens,istheanybackupforallthisimportantinformation.So,theMalaccaDrivingSchoolManagementSystemwillbedevelopedasasolutionfortheentireproblem.TheMalaccaDrivingSchoolManagementSystemwillkeepalltheinformationofthedailydrivingschoolcenteroperationwhichisfromtheinstructor'srecords,staffsrecordstopaymentofthestaff'ssalary.TheMalaccaDrivingSchoolManagementSystemwillkeeptrackalloftheoperationinformationsecurelyandorderlyandevenwithbackup.Itiseasyforsearchingandretrievingdata,andmakingchangestoallstoreddata.1.2ProblemStatementsAscurrentsystemisamanualfilingsystem,thereareseveralproblemsthatarestateforthecurrentsystem:

i）LowdataretrievalinsearchingThroughthemanualfilingsystem,thedatawillbekeptinfileaccordingtotheyearorcompanyalphabetically.Thismaytaketimetosearchfortheinformationneededintimeasthestaffmayhavetolookthefileonebyoneandotherrelatedfilejusttosearchforsomeinformation.Forexample,ifthestaffwantstosearchtheaddressordetailsoftheirstudents,heorshehastosearchoneveryfile,onebyone.Itwilltakealongtime.ii）Theredundancyofdataandnotconsistencyofdata.Inamanualfilesystemusuallytherearedataredundancyandinconsistency.Thisisbecausethesamedatamaybestoredinvariousfilesastheyarerelatedwitheachother.Thisalsocausesofdataanomaliesandtheninconsistencybecausetheredundantdataarechangedinonefilebutnottheothers.Forexample,repetitivedatamighthappeninarecordofthestudentsbecauseofunsystematicdatamanagement.Suchasifastudentorinstructorschangetheirtelephonenumber,thestaffmaychangetheinformationinonefilebutnottheotherwhichmayalsocontaininformation,thismaycausedataanomalies.

iii）Thelackofsecurity

Usuallyfornormalfilingsystemthereislackofsecurityasthereisnolimitationonwhocanaccessthefiles.Anyonecanchangetherecordsandthismaycauseserioustroubleinthefuture.Forexample,intruderscaneasilystealtheimportantinformationabouttheinstructor'sdetailsorevenastaffthatmaynothavetheauthorityontheinstructor'sinformationmaystealtheinformationandsellittootherperson.

iv）NobackupandrecoveryforthedataManualfilessystemhasnobackupandifthefileofalltheinformationlostordamage,thedrivingschoolcenterwilllostallit'svaluableinformation.Forexample,themostimportantdataofthedrivingschool'scenteristhedetailsofthestudents,staffsandhistory'sinformation,ifthatdatalost,thedrivingschoolcenterwillfaceabadimpactwheretheymaylosetheirimportantinformationforafutureanalysis.

1.3Objective

i）Tomakefasterdataprocessingandaccessing

Tobefastindataprocessingandaccessingbyusingqueryandindexarerequired.Thisisbecausequeryandindexwillhelptoimprovedataretrievalandperformancespeed.Forthesolutionprimaryandforeignkeyarecreatedeachtimetoretrievethedatafromdatabase.Forexample,thedetailsofthestudentsshouldbeeasilyretrievedbythestaffformakingapaymentorforupdatingtherecord.

ii）ToimplementthedataintegrityDataintegrityenforcedthroughfortheproperuseofprimaryandforeignkeyrule.Theprimarykeywillhelptoavoiddataredundancyandinconsistency.So,therewouldnotbearedundantdatawhileusingthesystemforsearchingoraddinganewdata.Foranexample,inMalaccaDrivingSchoolManagementSystem,everystudentandinstructorswillhavetheirownrecordsusingcomputerizedsystem.So,therewouldnotberedundancydataespeciallyininstructor'stimetable.

iii）Toavoidthesystemfrombeingaccessbyunauthorizedperson

Datastoredinthedrivingschool'scenterdatabasemustbeprotectedfrombeingaccessbyunauthorizedusers.Inthissystem,usersareprovidedwithpasswordthatallowstheassignmentofaccessrightstospecificauthorizedusers.Passwordusuallyenforcedatlogontime.

iv）TomakedatabackupandrecoveryofthedataDatabackupandrecoverycreateasafetyvalues,allowingthedatabaseadministratortoensuretheavailabilityofconsistentdata.Thesystemwillusedthecentralizeddatabaseandwillmakeeasytobackupthedata.Forexample,alltheinformationofthecenter,studentsandstaffswillbebackupintheexternalharddisc.So,ifthedatabasecorrupts,westillcanusethedatabaseintheexternalharddisc.

1.4Scope

ScopesofthisMalaccaDrivingSchoolManagementSystemincludedthetargeteduserandfunctionthatincludedinthesystem.

1.4.1User

TheuserofthisMalaccaDrivingSchoolManagementSystemwillbedividedintohigh-levelstaff,low-levelstaffandothersusers.

i）High-levelstaff

Theadministratoristhehigh-levelstaff.Theyhavehighlevelauthorityofusingthesystem.Besidethat,theyknowalltheflowofthesystemandalsocanviewallthedetailsofthesystem.

Theadministratorwillsetthedatapoliciesforthecompany,setthestandardforcontrolandusageofdata.

Theadministratorsalsohavetomaketheback-up,maintenanceandtuningofthesystem.

Besidesallthecommonfunctionsofthesystem,themostobviousauthoritytheyhaveareviewthereportofthecenter'sprogress,andfinancial.

ii）Low-levelstaff

Staffhastoplacefortheregistrationofnewstudentsorstaff,suchaspersonaldetailsandothers.

Thestaffalsocanadd,updateandsearchfortherelateddata.

Bytheway,low-levelstaffcannotdeletethedatathatrelatedtotheregistration.

Low-levelstaffalsocannotviewthereportinformation.

1.4.2Function

Thissystemincludesseveralfunctionswhichare:

Theusercanaddnewstudentsorstaffintothedatabase.

Thisfunctioncandobytheauthorizestaffofthiscompany.

ii）Delete

Theusercandeletethedataofthestudentsandstaff.Itisincludethedetailsofthem.

iii）Edit

Theyalsocaneditthechangesofthestudentsorinstructorsandsaveitasupdatedata.

iv）Search

Thisfunctionisfortheusersearchtherelateddataoranyinformation.

Theusercansearchinformationaboutthestudents,andstaffdetails.

Thestaffcansearchthedatabyidnumber,nameofstudentsandinstructors.

1.4.2.2LogIn

Beforetheyusethissystem,thehigh-levelstaffandlow-levelstaffneedtobelogin.

Theywillentertheuseridandthepassword.

Aftersuccesstologin,theycanproceedtousethesystem.

1.4.2.3LogOut

Aftertheuserfinishingusethesystemandtheywanttoexit,theyneedtologoutfromthesystem.

1.4.2.4Searching

Thisfunctionisfortheusersearchtherelateddataoranyinformation.

Theusercansearchinformationaboutthestudentsandstaff.

ThestaffcansearchthedatabyIDnumberofstudentsorstaff.

1.4.2.5Payment

i）Add

Thestaffcanaddthenewpaymentofthestudentsintothesystem.

Thelow-levelstaffwillalwaysusethisfunction.

ii）Delete

Thestaffcandeletetheunneededdataofthepayment.

iii）Edit

Thestaffcanmakethechangesofthepaymentdata.

iv）Search

Theyalsocansearchtheunpaidortotalpayment.

TheycansearchtherelateddatabytheIDnumberofstudents.

1.5ProjectSignificance

Theprojectssignificantofthisprojectare:

i）Datastoragemanagement

Thedatathatarestoredindatabasewillbeeasilymanageandaccess.ThetopLevelmanagementcanprovideadhocqueryforthedatabase.Forexample,thestudent'sdetailscanbearchivebythestudent'sICNumber;thisisalsofortheupdating,paymentandsearching.
