Usingpositivelanguagealterslanguagesothatitcomesacrossaspositiveandconstructive,ratherthanabrasive,hostileorconfrontational.Usingpositivelanguagetendstoreduceconflict,improvecommunication,reducedefensivenessinothersandhelpsportraythespeaker/writerascredibleandrespectable.

∙includeswordslikecannot,willnot,unableto,thattelltherecipientwhatthesendingagencycannotdo;

∙donotstresspositiveactionsthatwouldbeappropriate,orpositiveconsequences.Positivephrasingandlanguagehavethefollowingqualities:

∙telltherecipientwhatcanbedone;

∙suggestalternativesandchoicesavailabletotherecipient;

∙soundhelpfulandencouragingratherthanbureaucratic;

∙stresspositiveactionsandpositiveconsequencesthatcanbeanticipated.

CommonNegativeLanguage/Phrasing

Ifyouwanttomovetomorepositivecommunication,thefirsttaskistoidentifyandeliminatecommonnegativephrasing.Thefollowingarequitecommon,andshouldbeavoidedwheneverpossible.

PositivePhrasing

Ifyouaregoingtoeliminatenegativephrases,youwillneedtoreplacethemwithmorepositivewaysofconveyingthesameinformation.Belowarejustafewexamplesofpositivephrasing.

∙2)Theinformationwehavesuggeststhatyouhaveadifferentviewpointonthisissue.Letmeexplainourperspective.

Conclusion

Negativelanguageconveysapoorimagetocustomers,andthosearoundus.Sometimesitcausesconflictandconfrontationwherenoneisnecessaryordesired.Thefirstplacetostartusingpositivelanguageiswithwrittenmaterial.Onceyouhavedevelopedtheknackofwritingpositively,itwillbeeasiertochangeyourspokenlanguagetopresentamorepositivetone.
