ThisassessmentisbaseduponacasestudyforUSAPITASLtd.Youshouldreceiveacopyofthiscasestudypriortotheassessmenteventtoallowyousufficienttimetoassimilatethedetailsofit.Duringthisperiod,youmayaskquestionsorseekclarificationonanymattersincludedinthecasestudy.

Theassessmentwillbecarriedoutundersupervisionalthoughyoumaywishtorefertoon-linehelpfacilities,notes,textbooks,otherpaperbasedsourcesofinformationandalsotheinternet.Youmustextractinformationfromlocalandremotecomputerdatasources.Thelocalinformationinthisinstanceisintheformofaseriesoffilesshownbelow:

Theremotecomputerdatasourceswillbefoundontheweb.ThefileUSAPITAS1.xlsprovidesyouwithacollectionofweblinks,whichwillassistyouinfindinginformationontheweb.Youwillhavetoaccessatleastthreesitesontheweb.Inallcaseswhereinformationisusedfromexternalsourcesyoumustclearlydetailyoursourcesinyourbibliographyattheendofeachassessment.

Youwillselectappropriatesoftwareapplicationpackagestomeettheidentified

Backgroundinformation

USAPITASisafoodandbeveragesupplier.USAPITASpurchasesvariousdifferentspecialitybeveragesandfoodsfromaroundtheworld.Currentlythefirmdealswithupto29differentsuppliersfrom12countries.USAPITASpurchasesupto70differentproductsfromthesesuppliers,andsellto24differentfirmsin10differentcountries.

Thefirmhasbeentradingsince1956whenitstartedsellingbulkteasandcoffeestotheretailtrade.Thefirmisaprivatelimitedcompany.

USAPITASiscurrentlyundergoingsomestructuralchangesandMrCampbell,theSalesDirector,isseekingtoachieveefficiencygainsintheareaofsaleswithintheorganisation.MrCampbellwishestoincreasethecustomerbaseofUSAPITAS.Initiallythiswillinvolvereviewingcurrentcountriesthatthefirmistradingin,buteventuallyshouldleadtoexpansionintoothercountries.MrCampbellwantstoseeimprovementsincommunicationsbetweenUSAPITASandallofitsstakeholdersincludingcustomers,suppliers,staffandshareholders.Hewouldalsoliketointroducemoreproductsintothe

firm’srangeofsupplies.MrCampbellseesICTasausefultoolinhisexpansionplans.HewishestomakebetteruseofcurrentICTfacilitiesatUSAPITAS,andhealsowishestoharnesstheuseoftheinternettobettereffectforUSAPITAS.ThefirmhasrecentlylostitsITmanagerandyouhavebeenpromotedintohispost.

MrCampbellhasaskedyoutolookattheexistingITfacilitiesinuseatUSAPITAS.Heisunhappywiththeinformationbeingprovidedtohimandhisstaff.Hewouldlikeyou,asthenewITmanager,toprovidebetterdatafromexistingdatasources,andmakebetteruseoftheinternetinvariousareaswithinthefirm.

Inpart1ofthistaskyouwillbeexpectedtoprovidedatafromanexistingdatabase,whichcontainssomesalesinformation.Thedatacontainedwithinthedatabaseisaccuratebutpoorlypresented.Yourtaskwillbetousethedatabaseprovidedtoproducesomequeriesandreports,whichshouldbeavailableforstafftousewiththeminimumlevelofITexpertise.IncarryingoutthistaskyoushouldnotethatcurrentsalesstaffhavevaryingdegreesofITskills.

Inpart2ofthistaskyouwillbeaskedtousesoftwaretosupportanalysisofthefinancialperformanceofUSAPITAS.Youwillbeprovidedwithcurrentdatawhichshouldbeusedfortestpurposes.Again,asabove,youmusttakeaccountofthefactthatstaffusingyoursolutionsmaynotbeveryfamiliarwithIT.

Inpart3ofthistaskyouwillbeaskedtoproduceanewsletterforstaffwhichwillincreasetheirawarenessoftheinternetanditsbenefitsforUSAPITAS.Thisnewsletterwillalsocontainstaffdevelopmentandtraininginformation.

Inpart4ofthistaskyouwillbeaskedtocompleteatablerecommendingappropriatesoftwareapplicationswhichmeettheneedsofUSAPITASinanumberofexamplesidentifiedbyMrCampbell.

ThisfilecontainsadatabasethatMrOff,thepreviousITmanager,hadmaintained.Itincludesinformationonallsalesstaff,allcustomers,allsuppliersanddetailsoftheproducts,whichthefirmdealsin.

Activity1

MrCampbellisunhappywiththequalityofinformationonthesalesfrontandhasaskedyoutoprovidethefollowinginformationforhiminprintoutform.

a）Detailsofallproductswhichhavebeendiscontinued—thisshouldincludetheproductname,thesupplierswehaveusedinthepastandacontactname.

b）Detailsofproductsforwhichwearecurrentlyholdinglevelsofstockworthmorethan£2,000.Thisshoulddetailproductname,supplier,stockvaluesandunitprices.

c）AprintoutofoursuppliersshowingthedetailsofallofourBritish,FrenchandGermansuppliers.

d）Areportonourcustomersshowingthenamesandcontactdetailsofallcontactswherethecontactisinfactanownerofthefirm.

e）Areportonoursalesstaffshowingthosewhostartedbetween1st

August1998and13August2003.Thisreportshoulddetailnames,startdatesandjobtitlesforeachmemberofstaff.

MrCampbellhascarriedoutareviewofallsalesandhasdecidedtoceasetradingwithcustomersinFinlandduetoexcessivecostsbeingincurredindeliveringtothatcountry.Hehasdecidedtoincreaseallunitpricesby1%andhehasalsodecidedtorewardthegoodworkofallsalesrepresentativesbygivingthemallapayrise.Printoutsmustincludeeitherscreendumpsofthedesignviewsofyourqueriesordefinitionsofyourqueries.

a）UseadeletequerytoremoveallcustomersbasedinFinland.

b）Useanupdatequerytoincreaseallunitpricesby1%.

c）Increaseallsalesrepresentatives’salariesby2%.Produceareportshowingallsalariesofsalesstaff,includewithinthisreportnewsalarylevelspluslastyear’sbonuses.

MrCampbellwouldalsolikeyoutoprovidehimwithaword-processedreportexplainingwhatdatabasesareandhowtheywork.Thisreportshouldcontainillustrationsfromthedatabaseprovided（USAPITAS2.mdb）.Thisreportshouldmakeacaseforusingdatabasesoftware,ieitshouldincludethebenefitsandpossibleefficiencygainstobehadfromusingdatabasesoftware.AtsomepointinyourreportMrCampbellwouldwishtoseeillustrationsandexplanationsofrelationshipsbetweentablesusingtheUSAPITAS2.mdbfile.
