WhatDoLibraryStaffMembersNeed
TypicallyIusethisspacetotellyouaboutwhatwearedoingtomeetyourneeds,orotherwisetoutingourachievements.InthisissueIwouldliketosharealistofissuesofconcerntoourstaffandwhatweareorarenotdoingtoaddresstheseworries.
RecentlyweaskedourStaffRelationsCommitteetosurveyitsmembersaboutwhatissuesdotheywantmoreinformationon.AsIlookthelistover,itoccurstomethatthislistmaynotdifferagreatdealfromthoseissuesofconcerntomanypeopleinHongKong.Hereisthelistwithafewcommentstoenableyoutounderstandwhytheyareconcerned:
1.TheUniversity’sHumanRelationsReform.Ourstaffmembersarenearlyallparentsinfamiliesorchildrenstilllivingathomehelpingmakeendsmeet.Theyareconcernedhowthenewpolicymighteffecttheirsalaries.
2.Retirementage.Lastnight,weheldapartyinhonouroffourcolleagueswhomustretirebecausewedon’thavesufficientfundstoholdontoouryoungerstaffandextendthese60yearoldswhohavetostepaside.Thosenotbeinghonouredareconcernedwhatwillhappennextyear–particularlythe5whowillbe60then.
3.Contractstaffextensions.Duringthelastfewyearswecouldonlygivecontractstaffoneyearextensions.Whilestaffmemberswith“verygood”evaluationsarehappythatwecannowproposetwoyearextensions,staffwithfamiliesorschoolbillstopayareworriedaboutthefuture.
4.Moreworkandpressure.Duringthepastseveralyearslibrarystaffmembershavebeenreorganisedtomakethemmoreefficient,theyhaveparticipatedinscoresofnewinitiativestoimproveservices,theyhaveboughtmorebooksandjournals,cataloguedmoreofthesame,beenopenmorehours,welcomedmorepatrons,andthelibrary’sconscientiouscleaningstaffhavepickedupafterthemall.Withallofthismore,more,morehascomemorepressuretoperform.
5.Budgetcuts.Thisisafairlygoodyearwithaflatbudget.Whileitishardtorejoiceoverthis,comparedtotheprevioustwoyearsofcuts,thecomingyearwillbeagoodone.Yetstaffmembersareworriedaboutthefuture.Willtheirjobsbeended?
6.Shrinkingandexpandingdepartments.InHongKong,weliketotalkaboutbeinganinformationsociety;
wefocusontheWebandwirelesscommunication.Nonlibrariansmightthinkthisisgoodnewsforlibrarieswhichareafterallinformationcentres.Thisisverypositiveforlibraries–buttherearesomelibrarydepartmentsorsmallunitswhosestaffmembershaveprintedbookskills:
bookshelvers,bookbinders,bookcirculators,etc.ThesemembersoftheHKUfamilyareworriedthattheywillnolongerbevalued.
Thereisnotmuchthelibrary’sadministrationcandoabouttheUniversity’sHRreformoritsretirementagepolicy.Theseprogrammesandpoliciesare,however,ofimportancetothesuccessofHKU’slibraries.Thereisvirtuallynothingdoneinamodernlibrarythathasnotbeenaffectedbyinformationtechnology.Staffmemberswhomighthavebeenhiredintheeraofpaperfilesandforms,havehadtolearnnewhigherlevelskills.Wehavesomestaffmemberswhohavebeenretrainedandwhile60arestillstrongandabletocompletetheirjobsbutwecannotaffordtoletthemcontinuetowork.Attheotherendoftheagerange,duringthepastcouplemonthswelosttwoyoungstaffmemberswhousedtheirnewlyacquiredskillstogetnew,betterpayingjobs.
Wewillbeproposinglongercontractsforeffectedstaffandevenpromotingotherswheneverpossible.Yet,thenewsalaryschedulesassociatedwiththenewhigherpositionsoftenpaylessthanwhattheyarecurrentlyearning.Toaddresstheincreasedjobrelatedpressuresourstaffisfeelingweareprovidingmorestafftrainingopportunities,streamliningtheorganisationtomaximisetheircombinedproductionpowers,introducingworksavingautomationwhereverpossible,andweareprioritisingallthegoodnewthingsthatcanbedone–andwillfocusonthosethatprofferthemostgainfortheleastgain.

-Providedalotofstafftrainingtohelppeopledotheirjobsbetter
-WehavestreamlinedworkflowsasinTechnicalServices
-Wehavestoppeddoingsomethingslikepastingcheckoutrecordsandstampingthem,stoppedwritingasmuchinformationineachbook,etc.
-Wehavetriedtointroduceincreasedautomationtothingslikeinterlibraryloan,reference,collectiondevelopment,cataloguing,etc.
-Wehavebeentryingtolimitthenumberofnewinitiativesthatwepursueeachyear.
Wediditthisyearandwewilldoitagainthisfallwhenweplanforthenextthreeyears.
So,iflibrarystaffmembersseemabitworried,theydohaveconcerns.Yet,wewillalldoourbesttomeetyourneeds.

MedicalLibrarycollaboratedwiththeDepartmentofNursingStudiesintheircentennialcelebrationon28May2005tosetupaposterexhibitiontracingthehistoryanddevelopmentofnursingeducation(trainingschools)inHongKong,thehistoryanddevelopmentofdegreeeducationinHongKong,andthedevelopmentofHKUnursingstudies.

2005MainLibraryOpeningHoursSurvey
Asurveyonlibraryopeninghourswasconductedduring18-30April2005tocollectinformationonusagepatternoftheMainLibraryandtomeasureusersatisfactionontheexistingopeninghours.Atotalof724userscompletedthesurveyquestionnaire,including412undergraduates,161postgraduates,110staff,13SPACEusers,19alumniand9non-HKUusers.ThisisthefirstusersurveyonlibraryopeninghourseverconductedbytheUniversityofHongKongLibraries.
Generallyspeaking,mostrespondentsweresatisfiedwiththeexistingopeninghours(meanscoreof3.62onaLikertscalerangingfromlow
(1)tohigh(5).Only11%(83)ofthe724respondentsindicatedthattheywerenotsatisfied.
Inaddition,thesurveyprovideduswithalotofdataonusagepatternoftheMainLibrary,whichhelpedusunderstandbetterthechangingpatternsofdemandsandbehavioursofourusers.

UserswerealsoaskedatwhichtimeofthedaytheyusuallyvisittheMainLibrary.Ofthedatacollected,wewereabletoidentifythefollowingtrends:
1.UseoftheMainLibraryiscyclical.MajorityofourusersvisittheLibraryduringtermtime,and41%and58%oftherespondentsdonotvisitthelibraryonweekdayandSaturdayduringsummer.Inaddition,usersgenerallydonotspendlonghoursinthelibraryduringsummer.
2.Majorityofourusersstayinthelibraryfor2hoursorlessperday.
3.UndergraduatesvisittheMainLibrarymostfrequently.Morethan80%oftheundergraduateswhorespondedtothissurveyindicatedthattheyusuallyvisitthelibrarymorethantwiceaweek.
4.PostgraduatesappeartohaveahigherpropensitytovisittheMainLibraryonSaturdays,Sundaysandpublicholidaysandduringthesummer.
